Basic Information Security Policies

Alta Lexica Translations (hereinafter “Alta Lexica”) handles information assets through its translation service business and other operations. In order to protect the information assets handled in all of Alta Lexica’s business areas from every possible threat and appropriately maintain their confidentiality, integrity, and availability, we have established rules in compliance with the content of the General Data Protection Regulation (EU) 2016/679 (GDPR) and the relevant Greek legislation.

  1. Definition of information security

Alta Lexica defines information security as the maintenance of confidentiality, integrity, and availability with respect to information assets.

  1. Risk assessment

Alta Lexica will identify the projected information security risks for the handling of the information assets in its possession in accordance with the procedure established by internal company rules, analyze and evaluate the causes of recognized risks, and determine the optimal measures to improve and enforce operational handling procedures. Alta Lexica will mitigate the identified risks to a level of risk which does not exceed a level that is acceptable to Alta Lexica through the enforcement of risk measures.

  1. Compliance with legal and contractual security obligations

Alta Lexica will comply with information security related laws and ordinances, regulations, confidentiality from stakeholders, and other requirements in the operation of the “Information Security Management System” and fulfill its social responsibility through appropriate information security management.

  1. Information security education and training

Alta Lexica will make all employees involved in operations recognize the importance of information security while also raising awareness and providing the necessary education and training for the proper use of information assets.

  1. Information security incidents

Alta Lexica will implement preventive measures to prevent an information security incident. Moreover, in the event that such an incident should occur, Alta Lexica will implement corrective measures to minimize the impact through an investigation of the causes and a rapid response.

In the event of a security breach of personal data, due to theft or unlawful access for example, we will notify the Greek Data Protection Agency within 72 hours of this security breach. This will include all of the information necessary to clarify the circumstances under which this happened. Notification will be done electronically via the Greek Data Protection Agency online portal: http://www.dpa.gr/.

Alta Lexica hereby declares that it shall implement information security based on the policies described above.

As a member of society, Alta Lexica shall proactively undertake sustainable development goals (SDGs) irrespective of its global location, consciously engage in social fairness, have consideration for the environment, and other responsible conduct in business activities, and hereby declares the Alta Lexica Social Responsibility Policies as follows.

Diversity acceptance

We do not practice any form of discrimination based on race, ethnicity, nationality, gender, sexual orientation, presence of a disability, age, or other factors.

We are committed to reducing carbon dioxide and aim to achieve carbon neutrality as soon as possible.

We prevent the waste of all resources beginning with paper, water, and electricity by reducing waste material and engaging in recycling.

We respect our suppliers as partners and aim to grow together alongside them.

We create a safe and healthy work environment and do not engage in excessive overtime or exploitative labor practices.

Labor rights

We comply with labor laws and respect the rights of workers.

Work-life management support (or work and private life balance)

We provide nursing leave, temporary part-time work, the maintenance of a telecommuting system, and various forms of support including a childcare leave system regardless of the covered employee so that our employees may choose diversified working styles while being able to continue working.

Corruption prevention

We do not permit the supply, receipt, promise, demand, or request of money and goods or other unlawful economic benefits provided to foreign or domestic civil servants for the purpose of exerting an inappropriate influence on management or the execution of business in any and all transactions.

Protection of personal information

As per our commitment to preventing the use of personal information without an individual’s consent as well as the unauthorized access, loss, destruction, modification, or leak of personal information, we maintain security systems, improve our management systems, provide thorough employee education, and take other necessary measures to implement safety measures and practice strict management of personal information.

Privacy Policy

Alta Lexica Translations (“Alta Lexica,” “we,” “our,” or “us”) fully understands the importance of handling personal information properly, adheres to all laws and standards, and stores personal information as follows.

In order to keep the personal information that we have received from you accurate and up to date, and to prevent unauthorized access, loss, damage, alteration, leak, or any other similar incident involving the personal information, we take necessary measures, such as maintaining a security system, developing a management structure and thorough training for our employees, and implementing security arrangements for close management of personal information. We will properly manage the personal information that we have received from you and will not disclose the personal information to third parties unless:

  • The individual concerned gives us consent;
  • The individual concerned wishes to receive a service, which is outsourced by us to a service provider, and we need to disclose his/her personal information to the service provider; or
  • We are required by law to disclose personal information.
  1. Inquiries from Individual Concerned

If the individual concerned requests us to disclose their personal information or record of the provision to third parties, or correct, delete, suspend the use or provision to third parties of their personal information, we will meet the request under law after verifying that the requester is the individual concerned.

We will comply with the relevant laws and standards governing the personal information in our possession, and will review and seek to improve this policy from time to time.
